This FinTech company had grown from 200 to 3,000 employees in 36 months through a combination of organic hiring and four strategic acquisitions. The speed of growth had outpaced their operational infrastructure. Their Workday Human Capital Management system and their SAP S/4HANA financial core were completely disconnected — functioning as independent silos with no automated data exchange. The consequences were severe. Each month, a team of eight HR operations specialists manually exported headcount data from Workday as CSV files, reformatted them in Excel, and imported them into SAP. This five-day process — spanning the last week of every month — was the single largest source of payroll discrepancies. In Q3 of the prior year, three employees received incorrect payroll amounts due to cost centre mis-mapping, triggering regulatory scrutiny in the UK and Germany. When Flowtaris was engaged, the CTO had issued a clear mandate: achieve zero manual reconciliation steps and build an architecture that could support doubling headcount to 6,000 employees without any additional operational overhead in the finance or HR functions. The integration also had to meet the highest data privacy standards — GDPR in Europe and CCPA in California — with full auditability of every data transformation.
Our Architecture
Flowtaris architected a production-grade, event-driven integration using MuleSoft Anypoint Platform. The solution was designed around a guaranteed-delivery messaging backbone to ensure that no Workday event could ever be lost, even during planned maintenance windows or API rate-limit scenarios. Architecture Design: We defined 14 canonical Workday event types — covering the full employee lifecycle from hiring through termination — and mapped each to precise SAP S/4HANA business objects. A MuleSoft DataWeave transformation layer normalised Workday's proprietary payload structure into SAP-compatible IDocs, with field-level validation and enrichment at the transformation boundary. Security & Compliance Layer: All payloads were encrypted at rest and in transit using AES-256. Personally Identifiable Information (PII) fields — including salary, national insurance numbers, and date of birth — were tokenised before transmission and only de-tokenised within the SAP security perimeter. Every transformation was logged to an immutable audit trail compliant with GDPR Article 30. Dead-Letter Queue & Retry Architecture: A custom dead-letter queue handled failed deliveries with exponential backoff retry logic and automated Slack alerts for the operations team. In 18 months of production operation, zero messages have been permanently lost. Observability: A custom MuleSoft Anypoint monitoring dashboard gives the finance team real-time visibility into integration health, payload volumes, and data accuracy rates — without requiring any technical knowledge.
